VisualQMS

A quality system people open

When the quality system is a folder of PDFs, people read it during onboarding and ask a colleague after that. VisualQMS is a complete quality management system that runs on M‑Files. Complaints, CAPA, audits and risk are handled in the same system as documents, process maps and training.

Modules

Everything quality work needs, in one system

VisualQMS is a complete quality management system. The core holds your controlled documents, training, standards and process maps, and the quality activities, such as CAPA and audits, are handled in the same system, each linked to what it concerns.

Controlled documents

People read the approved version and nothing else. Review and approval run as a workflow, and every earlier version is kept.

Training records

Assign training by role and collect read-and-understood acknowledgements. You see who is overdue.

Visual processes

Diagrams of how the work is done. Each activity leads to the procedure, the training and the records behind it.

Deviations and CAPA

A deviation is recorded, investigated, acted on and verified, and it stays linked to the procedure it came from.

Internal audits

Plan audits by clause, record the findings, and follow each one until its action is closed.

Change requests

A change is requested, assessed, approved and verified before it takes effect.

Risk register

Each risk has an owner, a score and the controls that address it.

Standards by clause

When an auditor asks about a requirement, open it and see the documents, diagrams and quality activities that belong to it. That goes for ISO 9001 and for any other standard you work to.

Each activity opens its procedure

The diagrams are drawn in Elements.cloud and open beside the document list in M‑Files. Each activity shows the role that performs it and leads to the controlled document behind it, in its latest approved version.

A review form anyone can follow

A review opens as a form with its own instructions: read the details, open the document, then accept or reject. Someone who reviews a procedure a few times a year needs nothing more.

Audits linked to the requirements they check

An internal audit and each of its audit events move from planned to completed. Every audit event links to the process diagrams, the ISO 9001 statements, the documents and the person audited.

Every audit on one calendar

Internal audits, supplier audits and audit events share one calendar, by month, week or day. CtrlPortals can show any record with a date this way.

Questions

Questions about VisualQMS

Does VisualQMS make us ISO 9001 certified?
An accredited certification body certifies your quality management system, and no software can do that for you or make you compliant. VisualQMS keeps each requirement linked to the work that meets it, so you can show the auditor how you meet it.
Which standards does it support?
By design, VisualQMS supports the requirements of the most common quality standards. You bring in the requirements of each standard you work to, ISO 9001 for example, and tag your procedures and process activities with them.
Are the process diagrams part of VisualQMS?
Yes. The process diagrams are part of VisualQMS, together with controlled documents, training and standards. They give people a way into the quality system through the work they do.
How do we get started?
With a demo on your own procedures, then a pilot. We set up the core, controlled documents, training, standards and process maps, together with the quality activities your work needs, and configure them to your process.
What does it run on?
The documents run on M‑Files, with version control, permissions per document and per state, and electronic approvals. The process diagrams are drawn in UPN in Elements.cloud and open beside the documents in M‑Files. Because it is M‑Files, quality records can link to other documents and objects in the vault.
Does it run in the cloud or on our own servers?
Either, or a hybrid of the two. VisualQMS runs on M‑Files, and M‑Files can run in the cloud, on your own servers, or as a hybrid. M‑Files Cloud runs on Microsoft Azure, where your data is encrypted both in storage and on its way over the internet.
Is it certified?
An accredited certification body certifies your quality management system; no software does that for you. The platform VisualQMS runs on, M‑Files, holds an ISO/IEC 27001 certification that covers M‑Files Cloud, Hubshare and Aino, and acts as a data processor under GDPR with a data processing agreement. Security, permissions and the event log has the detail.
Who makes VisualQMS and CtrlPortals?
We make VisualQMS. It uses several M‑Files apps from our development partner CtrlDocs, CtrlPortals among them, and we resell and implement those too. Read about CtrlPortals at ctrldocs.com.
